Position Summary

The Program Coordinator will manage client cases, document services, create program reports and coordinate volunteer trainings and client workshops. Manage day-to-day activities of specific components of the programs from start to finish. This includes monitoring key tasks and timelines; producing clear status reports; developing and updating work plans.

Essential Position Responsibilities

• Develop and maintain program policy and procedures

Attend annual trainings

• Manage client cases

• Assist in developing client workshop curriculum

• Coordinate client workshops and conduct client groups as needed

• Document services

• Create program reports

• Coordinate applicant interviews and participate in the interview process

• Assist in developing volunteer training curriculum

• Coordinate volunteer trainings and conduct training presentations

• Provide regular program updates identifying program accomplishments, needs, and outcomes

• Develop and implement community outreach programs

• Lead person for program assessment and review, addressing any corrective action measures in a timely manner

• Oversee and ensure monthly submission of reports

• Prepare project documents including meeting and conference agendas, presentations and program related materials

• Collaborate on and develop the strategy to monitor program progress

• Actively supports client directors and leadership on program related issues


• Ability to remain organized while managing multiple details

• Ability to communicate effectively

• Must be PC literate and experienced working with automated spreadsheet and databases

• Strong project management skills managing complex, multifaceted projects resulting in measurable successes and program growth

• Excellent verbal and written communication skills with exceptional attention to details

• Strong project management skills with the ability to plan and execute projects

• Ability to demonstrate sensitivity to and appreciation for diverse viewpoints and different communication styles

• Ability to adapt to the changing needs of the organization which may require adjusting schedules to enable attending evening events and offsite meetings

• Ability to work in a team environment with a diverse group of people and organizations

Education and Experience

• A Bachelor’s Degree is required

• 2 to 3 years of case management experience in a nonprofit organization

• Program management experience in a nonprofit organization

• Demonstrated success developing and evaluating program models

• Experience coordinating large groups of participants or organizations in a program with multiple components including data collection

• Experience working with at-risk populations required

• Proven ability to provide trauma informed and culturally sensitive services

Supervisory Responsibilities

This position is responsible for providing supervision to approximately 42-45 program mentors

Physical Requirements

This position requires the ability to walk, stand, use a computer, and lift and carry up to 20 pounds

Travel Requirements

Some local travel is required for attending meetings, events and conferences
