Development & Events Associate (Boys & Girls Clubs of Long Beach)

TITLE: Development & Events Associate
PROFILE: Administration

REPORTS TO: Director of Grants & Marketing
TYPE: Non-Exempt
SALARY:  $16 – $18 per hour

PRIMARY FUNCTION:

Under the leadership of the Chief Executive Officer, the position will administratively support our growing development and events department in addition to general office administration. This includes event logistics and registration, donor and parent customer service, and donor stewardship to generate funding for the Clubs’ general operations, core programs or other areas. All job responsibilities are carried out within the framework of the policies and procedures of the organization with a positive demeanor.

KEY ROLES: (Essential Job Responsibilities)

Administrative: 

  • Greets all visitors, pleasantly, and efficiently.
  • Manages main phone lines and incoming calls pleasantly, and efficiently and direct to voicemail if staff is not available. 
  • Print and prepare marketing and Human Resources materials
  • Assist in the sorting and distribution of donated items to the Clubs
  • Monitors and organizes office supply inventory
  • Perform other related secretarial or administrative duties as requested
  • Participate in staff meetings, trainings, and other required events. 

Development Administration

  • Work with the Chief Executive Officer, Director of Development and Director of Grants and Marketing on the organization’s overall cultivation and stewardship plan.
  • Prepare reports, reach out to donors to set up meetings and tours, and assist Director of Development’s donor communications and calendar.
  • Maintain donor database appropriate to organization needs including inputting and updating data on donors and prospects in the DonorPerfect system.
  • Prepare needed reporting for Board meetings
  • Any other duties the supervisor might deem necessary in the best interests of the organization.

Fundraising/Special Events: 

  • Oversee all aspects of the planning and execution of the Clubs’ annual major events including “friend-raisers”: Youth of the Year, Gala, Golf Tournament, Corporate Luncheon, walk-a-thon, wine and poker events) to achieve budgeted revenue. 
  • Record and manage sponsorships, ticket sales, and attendee registration, and assist with the coordination of logistics and food and beverage with event venue.
  • Assist event chairs and CEO in obtaining sponsorships, table sales, advertisers, live & silent auction items, raffle prizes, and other revenue sources.
  • Conduct research on vendors, venues and other event aspects as needed.
  • Track event financials, attendance, guest lists, and seating assignments.
  • Garner corporate, individual and local business sponsorships and donations, procurement of in-kind goods and services. 
  • Assist in drafting text for event solicitations, invitations, acknowledgements, programs and event appeals.
  • Work with the development team to plan and implement donor cultivation, moves management strategies, and recognition events as well as other events.

Additional Responsibilities:

  • Participate in special events or activities as required.
  • Establish and maintain a friendly, cooperative relationship with other staff, public and private agencies, and other groups in the community.
  • Any other duties the supervisor might deem necessary in the best interests of the organization.

RELATIONSHIPS:

Internal:  Maintain contact with supervisor to receive/provide information, discuss issues, explain guidelines, or instructions, and to instruct and/or advise and counsel about program operations.

External:  Maintain contact with external community groups and others involved in special events.  Create positive image of organization in the community. 

SKILLS/KNOWLEDGE REQUIRED:

  • Bachelor’s degree or equivalent experience on a year-for-year basis.
  • Demonstrated organizational, staff, and project management abilities.
  • Must communicate clearly, have excellent writing skills and knowledgeable in English.
  • Ability to demonstrate a professional manner in all interactions.
  • Know how to define and work toward goals.
  • Be able to facilitate a diverse group of youths or adults effectively.
  • Ability to organize time and focus on completing assigned tasks with minimal supervision.
  • Valid state driver’s license and working vehicle to deliver/pick up items.
  • Proof of insurance on personal vehicle.
  • Must have knowledge of usage of e-mail and Microsoft Office products.

  • Ability to lift 20 pounds
  • Good health
